Job Overview : We are seeking a highly organized, communicative, and detail-oriented Junior Financial Advisor Assistant to join our team in a hybrid work environment (in-office in Pasadena and remote). This role is critical to the daily operations of our financial firm, ensuring seamless communication with clients, precise execution of administrative tasks, and effective support for our financial advisors. The ideal candidate will be proactive, comfortable speaking with clients over the phone, and capable of managing various operational tasks.
Key Responsibilities
Client Communication: Act as the first point of contact for incoming client inquiries. Make outbound calls to current clients for relationship maintenance, appointment scheduling, and information gathering.
Prospecting Support: Contact prospective clients to introduce our services, qualify leads, and schedule initial consultations for our advisors.
Administrative & Paperwork: Prepare, review, and process essential financial paperwork, including account opening forms, transfer documents, and client updates.
Mail & Correspondence: Manage incoming and outgoing mail. Draft, format, and send professional emails, letters, and promotional materials to clients and prospects.
Operational Assistance: Assist with CRM management (experience with systems like GoHighLevel or Kartra is a plus), maintain client files, and track the status of submitted forms to ensure timely processing.
General Support: Perform any additional duties required to support the financial advisors and the overall efficiency of the office.
Requirements & Qualifications
Strong verbal and written communication skills; comfortable and professional on the phone.
Excellent organizational skills with a high degree of accuracy and attention to detail.
Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
Proficiency in standard office software and a willingness to learn new technology platforms.
Self-motivated and capable of working independently in a hybrid (in-office/remote) setting.
Prior experience in an administrative or customer-facing role is preferred (experience in the financial or real estate sector is a plus).

Position Overview We are looking for an energetic, detail-oriented Financial Services & Client Operations Intern for an 8-week learning opportunity. This position offers a hands-on introduction to the daily operations of an independent financial advisory practice, working directly alongside experienced professionals in a comfortable, low-stress environment.
Designed to fit alongside a college schedule or other commitments, this program spans 8 weeks at 10–15 hours per week in a hybrid format (combining flexible remote work with hands-on learning days in our Pasadena office).
What You Will Learn & Do
Client Outreach & Communication: Learn professional communication etiquette by making introductory welcome calls to new contacts, confirming upcoming appointments, and assisting with meeting preparations.
Administrative Support: Assist with organizing client records, updating CRM records, scanning documents, and handling outgoing/incoming mailings.
Document Processing: Shadow the team through the account onboarding process and learn how financial paperwork, forms, and client applications are prepared and verified.
Special Projects: Participate in light operational tasks, such as organizing workshop/seminar materials or drafting client correspondence.
Program Structure
Duration: 8 Weeks
Hours: 10–15 hours per week (Flexible scheduling between Monday and Friday)

Qualifications
